Confirmation emails that actually save you work

A confirmation email is the cheapest customer support you will ever have. When it is missing or says nothing, a “hi, did my registration go through?” arrives within two days. When it is written well, that email never arrives at all.

What it has to contain

  • Confirmation that it went through — the first sentence, not the third paragraph.
  • A recap of what they filled in. Not just “thank you”, but what they ordered or signed up for.
  • What happens next and when. “We will reply within two working days” is information; “we will be in touch soon” is not.
  • How to reach you if something is wrong — an address or a phone number, not a no-reply void.
  • Payment details, if payment is by transfer. Including the reference number.

Different emails for different people

The confirmation does not have to be one-size-fits-all. Conditional emails send a different message depending on what someone answered: those paying in advance get the payment details; those paying on arrival get directions instead.

Rules are evaluated top to bottom and the first match wins — so the generic email belongs last, as a safety net.

Alongside the respondent’s email, a notification to your own team is worth setting up. It does not have to be pretty, just fast, with a link straight to the response.

What to avoid

Do not put unrelated marketing in a confirmation — it has a high open rate precisely because people are expecting information. And do not attach anything they are not expecting; a recap PDF yes, a catalogue no.
