Response status

A response status is a label saying where a response sits in your process. New, in progress, paid, done, rejected. Without statuses a response list is an archive; with them it is a work queue.

The practical effect is what you can filter. “Show me everything unpaid from last month” is a one-click question — if the status exists. Without it, the same question gets answered by a second spreadsheet on the side, which stops being updated around week three.

Alongside the built-in statuses you can define your own, named after your process and given their own colour. Status changes are recorded, so you can trace later when a response passed through which stage.

Statuses also hold the following steps together: exports and automations can be limited to a specific status, so only genuinely paid responses reach your accounting.

In practice

  • Filtering and bulk status changes right in the response table.
  • Custom statuses with their own colours, named after your process.
  • Exports and automations limited to a chosen status.

FAQ

Can I name statuses myself?

Yes — you can add custom statuses alongside the built-in ones.

Can I change the status of several responses at once?

Yes, with a bulk action on the selected rows.

Will the respondent know I changed the status?

Not by itself — the status is internal. You can tell them with an email from an automation.
